EIRE Systems is a leading provider of IT solutions and Project Management consulting services. We’re presently seeking to hire a Bilingual Projects Management Support professional to assist the IT and telecoms infrastructure components of some major data center construction, expansions, retrofits, equipment upgrades, tech refresh and various other 'Day 2' change projects.
Role Overview:
In this role, work with a team of project managers to support project coordination, document controls, preparing status reports, tracking budgets and expenditure, processing invoices, liaising with vendors, coordinating schedules, drafting SOWs and work orders, processing vendor security access paperwork, managing contracts with suppliers and subcontractors, etc.
Key Responsibilities:
- Attend and/or hold meetings with project teams, vendors and clients to define requirements and schedules for IT and telecommunications equipment (e.g. IT hardware, racks, cable ladders, fiber trays, etc.), and low voltage cabling, and Security systems.
- Collect, compile, review and analyze quotations and vendor cost proposals.
- Prepare and issue order forms, work permits, inspection documents and other required project documents
- Process invoices and track project expenditures to maintain budget alignment. Assist in the preparation of budget reports and financial summaries.
- Efficiently manage and maintain project documents such as schedules, technical drawings, meeting minutes and status reports, using various software tools.
- Communicate and coordinate installation requirements, designs, and schedules with/to telecommunications carriers & ISPs, facilities, construction, and MEP vendors
- Coordinate, supervise and report on installation activities on-site
- Report on status meetings with product and construction vendors, building/facilities management providers and various other relevant client-side IT groups.
- Be proactive in communications with project stakeholders.
- Other project related technical and administrative duties requested by EIRE and the client
Required Language Skills:
- English: Business level proficiency - ability to work with and produce professional documentation and reports for global project stakeholders.
- Japanese: Business level proficiency - ability to communicate effectively with vendors and other external project stakeholders using Japanese.
Required Qualifications:
- 3+ years of project administration experience, ideally in IT, telecoms, infrastructure or construction.
- Knowledge of procurement, contracts, and vendor management.
- Proficiency using standard office apps, document management and project management software tools.
- Strong organizational, communication, and multitasking skills.
- Ability to work in a fast-paced environment with tight deadlines.
- Bachelor’s degree in IT, Business Administration, Project Management, or related field (or equivalent experience).
Nice-to-Haves:
- Knowledge of data center operations and IT infrastructure.
- Experience with data center construction or IT infrastructure projects.
- Project management related qualifications (e.g. CAPM, PMP, Prince2 or similar).
